Payroll Software For
NZ Civil Contractors.

Friday pay runs used to take half a day of chasing paper timesheets and re-keying hours. Fieldlink turns approved crew timesheets into a Holidays Act-compliant pay run — pushed straight into Xero Payroll or exported for iPayroll and MYOB — in one click.

From site to payslip without a spreadsheet

Generic payroll tools don't understand construction — split days across jobs, overtime after 8 hours on a pour, wet days, public holidays on a Tuesday. Fieldlink was built for how civil crews actually work.

Crew timesheets in

Workers submit hours from their phones — per job, per day, with start times prefilled from their on-site QR or GPS sign-in. Office approves with one tap.

Overtime done right

Daily and weekly overtime thresholds applied automatically per your settings. Time-and-a-half after 8 hours? Double time Sundays? Configure once, never think again.

Holidays Act compliant

Public holidays auto-detected with Mondayisation. Leave balances tracked. Immutable audit trail on every timesheet edit — MBIE-audit ready.

One-click Xero push

Map workers to Xero Payroll employees, earnings rates and calendars once. Then every Friday: review the week, click Send to Xero, done.

iPayroll & MYOB export

Not on Xero? Export the pay run as a clean CSV that iPayroll and MYOB Payroll ingest in seconds. Branded PDF summary for your records too.

Leave in the same app

Workers apply for annual, sick and alternative leave from their phones. Approved leave lands in the pay run automatically — no double-handling.

Why NZ construction payroll goes wrong

Every year MBIE fines New Zealand employers for Holidays Act breaches — and construction is one of the worst-hit industries. The cause is almost never bad intent. It's paper timesheets keyed into a spreadsheet on Friday afternoon, overtime worked out by memory, and a public holiday that fell mid-week getting missed. When a worker is on a different job each day with different hours, the manual approach simply can't keep up.

Fieldlink closes that gap by capturing hours at the source. The worker's phone is the timesheet: they log hours against the actual job (which also gives you true labour cost per job), the office sees missing timesheets before pay day instead of after, and the pay run maths — ordinary time, overtime, public holidays, leave — is computed by software, not a tired human at 4pm on a Friday.

The Friday routine, before and after

Before Fieldlink: ring three workers who didn't hand in timesheets, decipher handwriting, key 40 rows into a spreadsheet, cross-check the calendar for the public holiday, re-key it all into payroll. Two to four hours, every single week.

With Fieldlink: open Pay Run, see every approved timesheet already rolled up per worker with overtime and holidays split out, click Send to Xero. About four minutes. The dashboard even chases missing timesheets for you during the week, so Friday holds no surprises.

Because Fieldlink also runs your job management, fleet and safety paperwork, the labour hours flow into job costing automatically — you see the true margin on every job, not just at year end when the accountant tells you.

Common questions

Does Fieldlink replace my payroll system?

No — Fieldlink handles everything BEFORE payroll: timesheets, approvals, overtime and Holidays Act calculations, then hands a clean pay run to Xero Payroll, iPayroll or MYOB. Your payroll system stays the system of record for PAYE and payday filing.

How does the weekly pay run work?

Field workers submit timesheets from their phones during the week. On Friday the office opens Pay Run, picks the week, and Fieldlink rolls up every approved timesheet per worker — ordinary hours, overtime and public holidays split out — ready to review and push to Xero or export.

Does it handle the Holidays Act 2003?

Yes. Public holidays are auto-detected (including Mondayisation), daily and weekly overtime thresholds apply per your settings, and every timesheet edit is kept in an immutable audit trail — exactly what MBIE asks for in an audit.

Can it push directly into Xero Payroll?

Yes — Fieldlink connects to Xero via OAuth and maps workers to Xero payroll employees, earnings rates and pay calendars. One click sends the week's approved hours straight into a Xero pay run. CSV export is also available for iPayroll and MYOB.

What does it cost?

Payroll processing is included in every Fieldlink plan — from NZ$39.99/month flat for crews up to 12 people. No per-payslip fees, no per-seat trap. Every new company gets a 30-day free Enterprise trial.
